Muddy Knees Kids Rugby (“MKKR”) is committed to ensuring that your privacy is protected. In line with General Data Protection Regulation (EU) 2016/679 (“GDPR”) this policy is designed to provide a simple explanation to the use of your data within MKKR.
MKKR does not hold data on behalf of any other organisation and all of the data contained is collected directly from the customer or data subject at the point when: (a) booking a child on to a place; (b) there is a request for information; or (c) being added to the waiting list; for a MKKR session, party or camp (“Session”).

How and What we collect
The aim of MKKR when collecting personal information is to understand your needs and provide you with a superior customer experience. We are always trying to develop current and future products and services and understanding our customer wants and needs allows MKKR to continue to provide fantastic customer service. When you book a place, request information or enter the waiting list for a Session (by email, mobile telephone or via the Website), we collect the following information which will never be disclosed to any third party, except as required by law; a Government body; or any regulatory authority:
- Parent or the responsible adult (“Parent”) name, mobile number and email address.
- Attending child/children’s name, age, date of birth and any medical information that a Parent feels is relevant and that they should share with MKKR and the coaches.
- Your IP Address, this is a string of numbers unique to your computer that is recorded by our web server when you request any page or component on the Website. This information is used to monitor your usage of the Website.
Why we collect it
- We need your mobile telephone number so we can call you and text you regarding Session information such as a change of venue, Session cancellation or to inform you when the new Session dates (including term dates) are available to book.
- We need your email address so we can inform you when the new Session dates (including term dates) are available to book and email you regarding Session information such as a change of venue or Session cancellation.
- We need the child/children attending’s name so we can add them to the Session register and labels.
- We need the child/children attending’s date of birth so we can ensure they are assigned in the right Session and group.
- There is an area to include additional medical information so MKKR and the coaches can be aware of this before and during the Session.
What else do we do with the information
We require this information so as to be able to provide you with an excellent service. Booking your child/children a place, being informed of last-minute cancellations, making sure you are kept informed of new Session dates (including term dates) and managing your child’s progress through MKKR are the reasons we collect this information. In addition to this we may email you from time to time for the following reasons:
- To inform you of any merchandise sale and purchases.
- Internal recording keeping.
- To ask you to complete customer satisfaction surveys or to provide reviews of MKKR on any social media platform, including but not limited to Facebook.
- To get confirmation that certain photographs can be displayed of your child/children on any social media platform, including but not limited to Facebook.
- To get confirmation that certain photographs of your child/children can be used by MKKR in advertising literature, including but not limited to flyers and e-flyers.
- To ask you to provide testimonials that can be displayed on the Website as well as getting confirmation that certain photographs can be displayed of your child/children on the Website.
- To ask if you would be interested in working as a MKKR coach or starting a new site or opportunity to expand the MKKR business.
Sharing and holding data
- Unless required to do so by law, we will not share, sell or distribute any of the information you provide to us.
- Your data is held on one centralised system that can be viewed by any member of the MKKR staff, self-employed contractors working for MKKR, and/or coaches. We hold your data on a centralised system as many parents do not always enrol every term and we want to provide information to Parents as smoothly as possible.
- We delete all your data records as soon as your child reaches their 8th birthday or when you give us written confirmation you will not be returning to MKKR at any point in the future. In some cases Parents will have a term off MKKR and return after a break. It is for this reason we do not automatically delete your information.
